These sample instructions assume your primary telephones have Page, Do Not Disturb, Park, Conference and Call Pickup buttons programmed. Users can customize their own telephones by programming the unused line buttons themselves. See a diagram of a telephone before you read the instructions. Each telephone now has a voice mailbox. You must set up your voice mailbox for your voice mail to be active. Once activated, calls to your extension will go to your voice mail if your telephone is busy or if you do not answer within 20 seconds.
The first time you access your voice mailbox, you are presented with the “quick setup” program. This is a series of audio prompts to allow to you easily set your password, record your name, record your personal greeting and list your name in the company directory.
Your personal greeting is what callers hear when they reach your voice mailbox. You should keep your personal greeting short. Here is an example of a personal greeting:
“Hi, this is (your name). I’m not available to take your call. Please leave a message.
After callers leave a message, they will be able to dial another extension number.
When a caller leaves you a message, the MSG button on your telephone will light and your telephone will beep several times. You can retrieve your messages by pressing MSG then ICM and following the audio instructions. You can save your messages for later review. The system will automatically delete messages that you have not listened to for eight weeks.
Listing your name in the company directory allows callers to dial 411 (after the system answers), enter the first few letters of your first name, lookup your extension number and be transferred directly to your extension. This means calls can come directly to you without anyone having to answer and transfer the call. So, when you leave your telephone number with someone, include your extension number – it’s easier for everyone involved.

The system places you directly into “message management” which provides information about your messages. To do other things such as change your greeting, first dial 9. The system will then present you with additional options. For example, to repeat the “quick setup” process, dial 9 and then 7 (you can simply dial 97). To change your greeting, dial 92. See the attached “Quick Reference Card” for a summary of all the options.
